To summarise our policy on your privacy, we understand that your personal information is your own to maintain and keep how you see fit, so we do our best to collect as little information from you as we need to manage this website and run our society memberships. For any of your personal information we collect, we do our best to ensure it is kept securely and privately and is not shared with anyone whom you would not want to receive access to.

What personal data do we collect, and why do we collect it
Registrations
When you register an account on our website, we keep the info you enter in our secure database so we can manage your membership both on our website and as part of the TSF Incorporated society. When you make a registration payment, we also keep a record of the expiry date and the last four digits of the credit or debit card you use so we can identify your payment. When you register to become a member, your name and email address are automatically added to our newsletter database, which MailChimp manages. You can view the MailChimp privacy policy here: https://mailchimp.com/legal/privacy/
Comments
When visitors leave comments on the site, we collect the data shown in the comments form and the visitor’s IP address and browser user agent string to help detect spam.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors can download and extract any location data from images on the website.
Contact forms
When you fill out a contact form on this website (including application forms), we collect all the data you enter and store it securely in our encrypted database. A copy of these details is then emailed to the administration team so we can process your request further.
A temporary backup of any data you enter is stored via a cookie on your device, allowing you to complete a form if interrupted or the page is accidentally closed.
Cookies
If you leave a comment on our site, you may opt-in to save your name, email address, and website in cookies. These are for your convenience, so you do not have to fill in your details again when you leave another comment. These cookies will last for one year.

When you fill out a contact or application form, the data you enter is temporarily backed up in a cookie on your device, even if you do not submit the form. If interrupted while filling it out, the cookie allows you to return to an arrangement, but it will expire after 15 days.

Who do we share your data with?
If you request a password reset, your IP address will be included in the reset email.
How long will we retain your data?
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can automatically recognize and approve any follow-up comments instead of holding them in a moderation queue.
For users who register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights do you have over your data?
If you have an account on this site or have left comments, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us. You can also request that we erase any personal data we hold about you. This does not include any data we must keep for administrative, legal, or security purposes.
Where do we send your data?
Visitor comments may be checked through an automated spam detection service.
Data from contact forms and application forms is emailed to the respective persons within our administration team who need access to those details to complete our services to you.
Stripe securely handles your payment details.
Our newsletter database is managed with MailChimp.

You can provide us with your contact information in four different ways:
1. via your membership registration.
2. via filling out an application or contact form.
3. Adding it to your public or private membership profile.
4. Adding it to a listing offering some of your video equipment for hire.

How we protect your data
All data you send to us or we collect from you is transferred securely using SSL encryption and is then stored securely in our encrypted database. We treat your data how we would want it treated, so we don't sell it and don't share it with anyone else who doesn't need access to it to fulfil our services unless required by law.
